PRIVACY POLICY
Cove PTO ("Cove PTO," "we," "us") respects the privacy of the families, staff, and community members who visit this website, volunteer with us, or make a donation. This policy explains what information we collect, how we use it, and the choices you have.
Information We Collect
Contact information you provide directly, such as your name, email address, or phone number, when you volunteer, submit a reimbursement request, or reach out to us (for example, through our "Drop us a line" link).
Donation and payment information. When you give through Zeffy, Stripe, or Venmo, those payment processors collect and handle your card or bank details directly — Cove PTO does not receive or store full payment card numbers. We do receive your name, email address, and the amount and date of your gift, which we keep for our own donor and financial records.
Information collected automatically when you browse this site, such as IP address, browser type, and pages visited, through cookies and similar tools (see "Cookies and Tracking" below).
How We Use Information
We use the information above to: process donations, volunteer sign-ups, and reimbursement requests; respond to questions; maintain our own financial and donor records; and meet legal and tax recordkeeping requirements, including providing written acknowledgment for donations of $250 or more as required by the IRS.
Sharing of Information
Cove PTO does not sell or rent your personal information. We share information only with the service providers who help us operate — our payment processors (Zeffy, Stripe, Venmo) and Google Analytics for site statistics — or when required by law. Cove Connection content we submit is passed to Cove School's ParentSquare system for distribution; the school, not Cove PTO, manages that recipient list.
Cookies and Tracking
Our website uses cookies and similar technologies to help the site function and to understand how visitors use it. Specifically:
Google Analytics. We use Google Analytics to collect anonymous information about site traffic, such as which pages are visited and how long visitors stay. This helps us improve the site. Google Analytics sets its own cookies; you can learn more at Google's privacy policy and opt out using Google's browser add-on.
Payment processing (Zeffy, Stripe). When you make a donation, our payment processors may set cookies to process your transaction securely and prevent fraud. Their handling of your information is governed by their own privacy policies (Zeffy's and Stripe's).
Embedded content (social media). Some pages may include content from third-party services such as Facebook or Instagram. These services may set their own cookies and collect information about your visit, subject to their own privacy policies.
Do Not Track. Some browsers offer a "Do Not Track" (DNT) signal. Because there is not yet a common industry standard for how to respond to these signals, our site does not currently respond to DNT signals.
You can control or disable cookies through your browser settings, though some parts of the site may not work properly if you do.
Photos and Student Privacy
Cove PTO may publish photos from school and PTO-sponsored events on this website, in Cove Connection, and on our social media accounts. Cove PTO relies on Cove School's existing photo and media consent process, obtained from families as part of enrollment. As a matter of practice, we do not pair a student's full name with their photo on public-facing pages. If you would like a photo of your child removed, please email us at President@covepto.org and we will address your request promptly.
Email Communications
Cove PTO does not operate its own email list from this website today. Cove Connection is sent by Cove School via ParentSquare to enrolled families; questions about unsubscribing from Cove Connection should go to the school/ParentSquare, not Cove PTO. If you contact us directly, we'll only use your email to respond to you.
Children's Privacy
This site is intended for parents, guardians, and adult members of the Cove community. We do not knowingly collect personal information directly from children through this website.
Data Security
We take reasonable measures to protect the information we hold. Payment card details are handled directly by our payment processors and are not stored on our systems.
Your Choices
You may ask to review, correct, or delete the personal information we hold about you, or unsubscribe from communications, at any time by emailing President@covepto.org.
Changes to This Policy
We may update this policy from time to time. The current version will always be posted on this page.
